"Celebrating diversity, creating a safe and inclusive environment"
In November 2023, the AIESEC Students' Union asked us to help them organise a conference with student participants from all over the world. The special thing about the event was that it lasted five full days, during which time the young people were able to take part in more and more interesting activities from morning to night. There were a wide range of round tables, workshops, team-building games and presentations. The smooth running of this was achieved in cooperation with the AIESEC team of organisers, so that everyone left satisfied on the fifth day.
There is no impossible!
The main challenge in organising the conference was to move the large number of participants. As a first step, we had to find a hotel that could accommodate 250 young people and we also had to make sure that they had at least 4 conference rooms or common spaces. All this at a price level affordable for a university student.
Finally, we found the perfect location in Kecskemét. All the rooms and spaces of the four-star Granada Hotel were available for our event. All this far away from the city, so there was no problem to party until dawn.
Bus ride with 250 people
After agreeing the basics, we just needed to figure out how we were going to coordinate getting 250 people from the city centre to the venue in a way that would ensure everyone got there as quickly and efficiently as possible. Four 50-seater buses were waiting for the guests in Budapest, who boarded the buses in pre-organised teams. With the help of pre-scheduling and on-site coordination, everyone arrived at the hotel on time.
